Start with the real operating flow
A useful YMS should support the movement from appointment to arrival, waiting, gate entry, dock service and exit. Before comparing software, map where trucks wait, how drivers are called, how docks are assigned and which teams need the same information.
The goal is not simply to display trucks on a screen. It is to create a consistent operational timeline that can be reviewed later.
Truck appointments
Check whether the system records vehicle, driver, carrier, expected arrival, operation type and planned dock before the truck reaches the site.
Yard queues
Teams should distinguish arrived, waiting, called, entered and in-service movements instead of relying on disconnected calls or spreadsheets.
Dock scheduling
Dock assignments should be related to the actual movement so receiving and shipping teams can connect plan and execution.
Gate management and logistics access control
A yard workflow becomes more useful when gate activity is connected to the scheduled movement. Evaluate whether truck, driver, carrier, arrival, authorization, entry and exit can remain associated with the same operational record.
Searchable history and timestamps
A completed movement should not disappear into an archive that nobody can search. Useful history includes expected arrival, actual arrival, waiting time, call time, entry, dock service and exit, together with operational notes.
Those timestamps help teams review recurring delays, exceptions and dwell time without depending on memory or separate channels.
Role permissions and site separation
Multi-site operations need clear boundaries. Each facility should work with its own trucks, people, documents, docks and operational history, while authorized central management receives the appropriate consolidated view.
Also review whether users can be restricted by role so gate personnel, site management and partner companies only access the modules needed for their responsibilities.

- Can we schedule trucks and assign docks?

- Can we track waiting, call, entry and exit?
- Can operational notes and incidents remain linked to the movement?
- Can we search historical records later?
- Can multiple sites remain isolated?
- Can permissions differ by role?
- Can authorized users work from desktop, tablet or mobile devices?
Test the complete workflow
During a demo, create a real appointment, register arrival, call the driver, authorize entry, assign the dock, add an operational note and complete the exit. Then try to find the record again in history. This exposes gaps much faster than reviewing a feature list alone.
